How beneficiaries request and receive access to your files
When a beneficiary needs access to a file, they submit a request through the beneficiary portal. You are notified by email and have a defined window to approve or deny. If you do not respond, the request is automatically approved.
This process ensures that files are only released when truly needed, while providing an automatic fallback if you are unavailable to respond.
Beneficiary submits request
From the beneficiary portal, they click "Request Access" on an accepted nomination.
You receive a notification
An email is sent to you immediately with details of the request.
Reminder emails sent
You receive reminders at 25%, 50%, 75%, 90%, and 1 hour before the response window closes.
You approve or deny
Log in to your dashboard and respond to the request within the response window.
Access codes issued
If approved, all accepted beneficiaries for that file receive a unique 8-character access code by email.
Beneficiary downloads
They enter the code on the beneficiary portal to download the file. Valid for 30 days.
The response time window is set by you when uploading a file. Available options:
You can set a default response time in Settings → File Management. This will be pre-selected for all new uploads.
If you do not respond within the response window, the request is automatically approved and access codes are issued to all accepted beneficiaries.
This is intentional — it ensures beneficiaries can always access files when truly needed, even if the owner is unavailable. Choose a response time that gives you enough time to review requests reliably.
Access codes are 8-character alphanumeric codes with over 1.5 trillion possible combinations.
Each accepted beneficiary receives their own unique code — codes are not shared.
Codes are valid for 30 days from the date of issue. Beneficiaries receive reminder emails as expiry approaches.
After expiry, a new access request must be submitted.
Once a code is used to download a file, it is marked as used. You will receive a notification when this happens.
